Why guest email marketing is worth the effort

Your past guests are the cheapest bookings you will ever get. They already know the place, they already liked it, and they do not cost you a channel commission to reach. A newsletter is how you stay in front of them between stays: the quiet season offer, the new rooms, the retreat you are hosting in October.

The reason most hosts never build that list is not the writing. It is the plumbing. Guests arrive through your booking form, through Booking.com, through Airbnb, through a message on Instagram, and their email addresses end up scattered across your inbox and your PMS. Getting them into your email tool means exporting a CSV, cleaning it, importing it, and remembering to do it again next month. It usually gets done twice and then never again.

How guest email marketing works in Mangobeds

  • Every new booking adds the guest. When a booking is confirmed, the main guest is added to the list you picked, with their name where the provider supports it.

  • Nobody gets resubscribed. If a guest unsubscribes and later books again, they stay unsubscribed. A new booking is not consent to bring someone back.

Which email tool should you connect?

Mangobeds works with four, and they are genuinely different. Pick the one you already pay for, or if you are starting fresh, the one that matches how you work:

  • MailerLite, the simplest of the four and the cheapest to start with. Free up to 1,000 subscribers with automations included, which most other tools put behind a paid plan. A good default for a single property.
  • Mailchimp, the one most people already have. Deep campaign and automation features, and the most templates to start from.
  • Brevo, email plus a built-in CRM, and EU-based if where your guest data is stored matters to you.
  • beehiiv, built for newsletters rather than campaigns. Worth a look if your property has a real publication behind it, the kind of thing colivings and retreat centres often run.

Step by step: set up guest email marketing

  1. In your Mangobeds dashboard, go to Apps > Email Marketing.
  2. Pick your provider from the four logos.
  3. Paste your API key. Each provider has a link straight to the page where you generate one, so you are not hunting through a dashboard.
  4. Choose which list your guests should join. Mangobeds reads the lists from your account, so you pick from the ones you already have.
  5. Decide whether guests should confirm their subscription first, then connect.
  6. Open Settings and run Sync guests now once, to bring your existing guests across.

About consent

Someone booking a room is not the same as someone asking for your newsletter, and in the EU that distinction is the law rather than a nicety. Mangobeds gives you the safe option: turn on the confirmation step and your guests are added as unconfirmed, then your email tool asks them to opt in before it ever sends them a campaign. You only get the ones who actually said yes, which is a smaller list and a much better one.

Turn it off only if your booking flow already collects explicit marketing consent.

Frequently asked questions

Does this work with bookings from Booking.com and Airbnb?

It works with any booking that reaches Mangobeds with a guest email address, including the ones your channel manager brings in. Note that the OTAs often supply a masked or aliased address rather than the guest’s real one, and those are worth little to a newsletter.

Will a returning guest be added twice?

No. Guests are matched on their email address, so a second booking updates the existing subscriber instead of creating a duplicate.

Are guest names sent as well as email addresses?

Yes for Mailchimp, MailerLite and Brevo, so you can write “Hi Marta” instead of “Hi there”. beehiiv stores subscribers by email address only, so names are not sent there.

What happens if I disconnect?

New bookings stop being added. Everyone already on your list stays exactly where they are, because the list lives in your email tool and belongs to you, not to Mangobeds.
