The Mailchimp integration connects your property to your Mailchimp audience, so every guest who books is added automatically, with their name, and nothing to export or import ever again.


Why you need a Mailchimp integration at all

Most properties already have a Mailchimp account. Far fewer have added a guest to it in the last year, and the reason is almost never the writing.

Guest email addresses do not arrive in one place. They come through your booking form, through the channel manager, through a message someone answered on a Sunday evening. Moving them into a Mailchimp audience means exporting a CSV, matching the columns, importing it, and then doing the same thing next month. That task recurs and is never urgent, which is a reliable way for something to get done twice and then quietly stop.

What the Mailchimp integration does

  • Every confirmed booking adds the guest to the audience you choose, with their first and last name in the standard FNAME and LNAME merge fields.
  • Your existing guests come across with one button in the app settings.
  • Your audience is visible inside Mangobeds, with each member’s status, so you can see who is subscribed, who is still pending and whose address was cleaned after bouncing.
  • Unsubscribed members are never revived. If a guest opts out and books again later, they stay opted out.

Step by step: connect Mailchimp to Mangobeds

  1. In Mailchimp, open your profile menu, then Extras, then API keys, and generate a key. It ends with your data centre, something like -us21.
  2. In Mangobeds, go to Apps > Email Marketing and pick Mailchimp.
  3. Paste the key. Mangobeds reads the data centre off the end of it, so there is nothing else to configure.
  4. Choose which audience your guests should join, from the audiences already in your account.
  5. Decide whether guests should confirm their subscription first, then connect.
  6. Open Settings and run Sync guests now once to bring your existing guests across.

Should you ask guests to confirm?

Usually yes. With the confirmation step on, Mangobeds adds guests as pending and Mailchimp emails them to opt in before any campaign reaches them. You end up with a smaller list of people who actually said yes, which is both better for your open rates and the safer position under GDPR, where booking a room is legally not the same as requesting marketing.

Turn it off only if your booking flow already collects explicit marketing consent.

Frequently asked questions

Will a returning guest create a duplicate?

No. Mailchimp identifies a member by their email address, so a second booking updates the existing member rather than adding another one.

Can this resubscribe someone who opted out?

No, and this is deliberate. Mangobeds only ever sends status_if_new, which applies to members it creates, and never status, which would overwrite the state of a member who already exists. An unsubscribed guest stays unsubscribed no matter how many times they book.

Where do I find my data centre?

You do not need to. It is the suffix on your API key, and Mangobeds reads it automatically. If the key is malformed, you will be told at the moment you connect rather than silently later.

What happens if I disconnect?

New bookings stop being added. Everyone already in your audience stays there, because the audience lives in your Mailchimp account and belongs to you.
