HubSpot Connection Guide with Mangobeds

The HubSpot integration shows your HubSpot deal pipeline inside Mangobeds, next to your bookings, and lets you move a deal along it or close it from there. HubSpot stays the one place your deals live.


Why connect HubSpot rather than use the built-in board

If your team already lives in HubSpot, your reporting, your sequences and your dashboards are there. Running the pipeline in a second tool would mean rebuilding all of it and checking two places every morning.

Connecting HubSpot leaves your pipeline exactly where it is. Mangobeds reads it live, so you can answer “who is still deciding?” on the same screen as the calendar, and act on the answer without switching tabs. The HubSpot free tier covers contacts and deals, so this costs nothing to try.

What the HubSpot integration does

  • Your deals appear in Mangobeds under Apps > CRM, with the stage each one is on, the contact behind it, and counts of what is open, won and lost.
  • Your own stages, in your own words. A seven-stage pipeline shows as seven stages, not flattened into someone else’s four.
  • You can move a deal to another stage from Mangobeds, and it moves in HubSpot too, for everyone looking at that pipeline.
  • You can close a deal as won or lost, and Mangobeds uses your pipeline’s own closed stages rather than guessing at a stage name.
  • Or close it and create the booking in one step. The booking form opens with the contact’s name, email and phone already filled in, and the deal is marked won when the booking is made.
  • HubSpot stays the source of truth. Mangobeds keeps no copy of your deals, so there is nothing that can drift out of step.

Step by step: connect HubSpot to Mangobeds

  1. In Mangobeds, open your property and go to Apps > CRM.
  2. Pick HubSpot, then click Connect HubSpot. A HubSpot window opens.
  3. Sign in to HubSpot if you are not already, and choose which account to connect.
  4. Review what Mangobeds is asking for and click Connect app.
  5. The window closes on its own and your deals are on the screen.

There is no token to create and no private app to set up. You approve Mangobeds once, from your own HubSpot account, and you can revoke it there whenever you want.

The warnings HubSpot shows you, and why they are normal

Somewhere around step 4, HubSpot will tell you twice that it does not know who we are. Both screens are expected, and stopping there is the most common reason a connection never finishes.

  • “You’re connecting an unverified app”, in a red box above the list of permissions. It means HubSpot has not reviewed our listing yet, not that anything is wrong with the app.
  • “This app could put your data at risk”, in a pop-up that asks you to type I accept the risk before the Connect button works. HubSpot shows this for every app that is not yet published in its marketplace.

The pop-up also lists our redirect domain, www.mangobeds.com. That is worth a glance: it is how you confirm you are approving us and not something wearing our name. Once our marketplace listing is published, both screens disappear.

What Mangobeds does not touch in your account

Mangobeds reads your deals, your contacts and your pipeline definitions. The only thing it ever writes is the stage of a deal you moved yourself. It never creates a deal, edits a deal’s name or amount, deletes anything, or touches a contact. That is why editing and deleting a deal are not offered on the CRM screen when HubSpot is connected: those fields belong to HubSpot, and your team edits them there.

Frequently asked questions

Do I need a paid HubSpot plan?

No. Contacts, deals and pipelines are available on the free tier, which is everything this integration reads.

Which of my pipelines does it show?

The first deal pipeline in your account, which for most portals is the only one. If you keep several and the wrong one appears, disconnect and connect again. The pipeline you are looking at is named on the CRM app’s Settings screen, so you can always check.

If I change a deal in HubSpot, does Mangobeds know?

Yes. Mangobeds reads your pipeline from HubSpot each time you open the screen rather than storing its own version, so what you see is what HubSpot has.

Does a booking I create show up on the deal in HubSpot?

The deal is marked won, and the booking lives in Mangobeds. There is no link to the booking on the HubSpot deal itself, because putting one there would mean creating a custom property in your account, which we would rather not do uninvited.

Can I use HubSpot and the Mangobeds board at the same time?

No, and that is on purpose. One system owns your deals. Two copies of the same pipeline is how a stage gets moved in one place, missed in the other, and a lead gets chased twice.

What happens if I disconnect?

The pipeline stops appearing in Mangobeds. Nothing changes in HubSpot: every deal, contact and stage is still there, because it lives in your account and belongs to you. You can connect again whenever you like.
