Yousign Connection Guide with Mangobeds

4 min read

Yousign (now called Youtrust) is an electronic signature service. Connect your Yousign account to Mangobeds and your guests sign their booking documents online, from their phone, instead of downloading the file, signing it on paper and uploading it back. This is the Yousign integration for document signing in Mangobeds.

Once connected, Mangobeds:

  • Sends each document you ask the guest to sign to Yousign
  • Shows the guest a Sign now button in their guest portal
  • Marks the document Signed as soon as the guest finishes
  • Replaces the original with the signed PDF and saves Yousign’s audit trail on the booking

Online signing is part of the Premium plan.

Before you start: create a Yousign API key

You need a Yousign account with API access. Yousign also gives you a sandbox, which is handy to try the whole flow before you sign anything real.

  1. Log in to Yousign.
  2. Open Developers, then API keys, and create a new key.
  3. Pick the environment: Production for real guests, or Sandbox to try it out. Give the key Full-Access permissions.
  4. Copy the key. Keep it private: anyone with it can send documents from your account.

Setting It Up

Step 1: Open the Documents app

In your Mangobeds dashboard, go to Apps, open Documents and choose the Signing tab.

Step 2: Connect Yousign

Under Signing provider, pick Yousign and fill in:

  • Yousign API key: the key you copied
  • Days the guest has to sign: 30 by default. After this the link stops working.

Click Connect. Mangobeds checks the key with Yousign, works out whether it is a production or a sandbox key, and shows Connected. A sandbox key also shows a Sandbox badge, as a reminder that those signatures have no legal value.

Step 3: Check the webhook

Yousign tells Mangobeds that a guest has signed through a webhook. Mangobeds tries to add it to your Yousign account when you connect.

If the Signing tab shows a yellow note with a URL, Yousign did not let us add it (sandbox keys never can), so add it yourself once:

  1. Click Copy URL in the yellow note.
  2. In Yousign, open Developers, then Webhooks, and click Create webhook.
  3. Paste the URL as the endpoint, pick the same environment as your key, and subscribe to signature_request.done, signature_request.declined, signature_request.expired and signature_request.canceled.
  4. Save it as active.

Step 4: Ask a guest to sign

Nothing changes in the way you ask for a signature. Open the booking, go to the Documents tab, open the document menu and click Request Signing. Template documents attached to an automated email are sent for signing on their own.

The document must be a PDF. The row then reads Sent with Yousign, waiting for the guest to sign.

Step 5: The guest signs

The guest gets the usual Please sign your document email with a link to the guest portal. There, the document has a Sign now button that opens Yousign, where they read the document to the end and sign it with one click.

When they finish, the booking shows Signed online with Yousign and the date, the signed PDF replaces the original, and the document menu gets an Audit trail item with Yousign’s certificate of the signature.

Good to know

Who signs. The main guest of the booking signs, with a simple electronic signature. Their name and email come from the booking, so check the email is right before you ask.

Sandbox keys only reach your team. Yousign’s sandbox only sends documents to people in your own Yousign team, so a sandbox key cannot send to a real guest. Use it with your own email to try the flow, then connect a production key.

The Sign now link. Yousign signing links last 48 hours, so Mangobeds asks Yousign for a fresh one every time the guest opens the guest portal. The guest never ends up with a dead link before the request itself expires.

Declined or expired. If the guest declines or the request expires, the row says so and the document menu offers Send for signing again.

Cancelling. Cancel Signing Request also cancels the request in Yousign, so the guest’s link stops working.

Emails. Mangobeds sends the request email itself, so the guest hears from your property, not from Yousign.

Disconnecting. Disconnect from the Signing tab at any time. Requests the guests have not signed yet are cancelled, and guests go back to signing the manual way.

Requirements

  • A Mangobeds Premium plan
  • A Yousign account with API access and a Full-Access API key
  • Documents in PDF
  • An email address on the booking’s main guest

Paperwork, done before arrival

Pair it with document templates: generate the rental agreement with the booking details filled in, and the guest signs it online before they arrive. Prefer Signaturit? See the Signaturit connection guide. See how documents work in Mangobeds for the full picture.
