Manage Your Sales Pipeline in Mangobeds
3 min read
The built-in pipeline puts every open enquiry in one list inside Mangobeds, next to the bookings they turn into, with nothing else to pay for and nothing to sync.
Who this is for
Most coliving and long-stay operators track enquiries in a spreadsheet, a notes app, or their own memory of an unread WhatsApp. That works until two people are answering messages, or until somebody asks how many enquiries last month became bookings and the answer takes an afternoon.
If you already pay for HubSpot or a similar tool, connect that instead and keep your deals where your team works. Everyone else should start here.
Step by step: turn on the built-in sales pipeline
- In Mangobeds, go to Apps > CRM.
- Choose Mangobeds as the place your deals should live, rather than one of the connected tools.
- Connect. The board opens empty.
- Add your current enquiries with Add deal.
Working the board
Every deal is a row: its name, the person behind it, where it came from, the dates and party size they asked about, and which of the four stages it is in. Filter by stage, or search by name, email, source or your own notes, to find one in a long list. The menu at the end of each row edits the deal, closes it, or deletes one that was a duplicate or a mistake. Moving a deal along is a matter of changing its stage in the edit form.
- Notes are free text. Use them for what the person actually said.
- Desired dates and guests are optional, because plenty of first enquiries are vague, and a deal with no dates is still a deal.
- Source is where the lead came from, in your own words: Instagram, a partner’s name, the friend who keeps sending you people. Mangobeds suggests the ones you have already used so the spelling stays consistent, and that is what turns the board into an answer to “which channel actually sends us bookings”.
Turning a deal into a booking
Pick Close the deal from the row’s menu. Mangobeds asks how it ended and gives you three answers:
- Close it and create the booking. The booking form opens with the person already filled in, and what they asked for shown above it. Once the booking is made, the deal moves to Won and keeps a link to it, so the card you were chasing and the stay it became are one click apart.
- Close it as won. They are staying, but the booking exists already or came in through a channel.
- Mark it as lost. The deal stays in the list, filed as Lost, so you can see what you are losing and why.
If they book on their own through your booking form, close the deal as won yourself. Mangobeds does not match that booking to the deal automatically yet.
Frequently asked questions
Can I add my own stages?
Not yet. The four stages are fixed for now, which keeps the reporting comparable across properties. If there is a stage your process needs, tell us which one and why, because that is how it gets built.
Can two people work the same board?
Yes, everyone on the property sees the same deals. Assigning a specific deal to a specific team member is not in this first version.
What happens if I disconnect the app?
Your deals are kept. They belong to the property rather than to the app, so turning the CRM off and on again does not lose your pipeline history.
Can I move to HubSpot later?
Yes. Switching the app over to a connected CRM hands ownership of new deals to that tool. Read the overview of lead management in Mangobeds to see how the two modes differ.
