Wise Connection Guide with Mangobeds
5 min read
If you already run your business banking on Wise, you can take Wise bank transfers for your bookings without moving money anywhere else. Mangobeds shows the guest your own Wise account details and a short payment reference, and marks the booking’s payment as paid on its own as soon as the transfer lands in your account.
This is the one payment method in Mangobeds that is not a card checkout. There is no gateway in the middle and no extra processing fee: the guest pays you by bank transfer, the same way they would pay any invoice, and the reconciliation is what Mangobeds automates.
Before you start (what you need)
- A Wise Business account. A personal Wise account will not work, because guests would be paying an individual rather than your business.
- Account details opened in the currency your property charges in. If your Wise account cannot receive that currency yet, open it in Wise first, otherwise the guest’s payment page has nothing to show.
- A Wise API token with Full access. A Read only token is not enough, and the next section explains why.
How to create your Wise API token
- Log in to Wise Business on the web (the token screen is not in the mobile app).
- Go to Settings → Connect and manage apps → API tokens.
- Choose Add new token and give it a name you will recognise later, such as Mangobeds.
- Set the permission to Full access.
- Leave Allowed IPs empty.
- Create the token and copy it. Wise shows it once, so save it somewhere safe before you leave the page.
Leave Allowed IPs empty. Mangobeds runs on servers whose addresses change, so a token pinned to a list of IPs will stop working without warning.
Why the token needs Full access
When you connect, Mangobeds subscribes to the transfers that arrive in your Wise account, so Wise can tell us the moment a guest’s money lands. Creating that subscription is a write, and a Read only token is refused by Wise, which is the only reason Full access is asked for.
What Mangobeds actually does with the token is narrow: it reads your business profile, reads the bank details to show the guest, creates that one subscription, and reads the incoming transfers it is told about. It never sends money, and it never creates a transfer. You can revoke the token in Wise at any time.
How to set up Wise bank transfers in Mangobeds
- Go to Property → Settings → Payments → Connect Payment Account.
- In Create a new payment account, choose Wise as the provider.
- Paste your Wise API Token.
- Tick the box confirming you have read this guide.
- Save to create the payment account, then Connect it to the property.
Mangobeds checks the token as you save it and picks the business profile the money is paid into, so a token created on the wrong account is rejected there and then instead of failing later on a real booking. If the notification subscription cannot be created, nothing is connected at all: you can never end up with guests paying into Wise while the bookings sit unpaid in Mangobeds.
Heads-up: once a property is linked to a payment account, you cannot swap providers on that property without removing the connection first.
What the guest sees
At the end of the booking form the guest gets a page headed Pay [amount] by bank transfer, holding three things:
- A payment reference, eight characters long and written in a font where nothing can be confused, with a copy button next to it. This is what ties their money to their booking.
- The amount to send.
- Your Wise bank details, grouped by how their own bank will send it: local details first for a guest banking in the same region, and the international details underneath for a guest paying from abroad.
There is also an I have made the transfer button. It only lets you know the money should be on its way, so you are not left guessing during the day or two a transfer takes. It never marks the payment as paid by itself.
What happens to the booking
A bank transfer takes one to two working days, which is far too long to hold a room while nothing is confirmed. So the booking is confirmed straight away and its deposit waits as a pending payment. If your booking form uses booking requests, it comes in as a request as usual and you approve it yourself.
When the money arrives, Wise tells Mangobeds, the reference is matched to the booking, and the payment turns to Succeeded with a note recording who paid and how much. Capitals, spaces and stray words around the reference make no difference: a guest who types booking mb7k q2xh np is still matched.
If a guest gets the reference wrong
Mangobeds changes nothing it is not sure about. A transfer whose reference matches no booking is left alone: the money is in your Wise account as normal, you can see it there, and you mark the booking’s payment as paid by hand. Nothing is ever cancelled because a reference did not match.
When to use Wise, and when not to
Wise suits long stays, coliving and retreats, where the sums are large enough that card fees hurt and a guest is happy to pay an invoice a few weeks before arriving. It is a poor fit for a same-day booking, because nobody can confirm a transfer that fast.
Nothing stops you running both. Many properties connect a card provider for short notice bookings and keep Wise for the long ones. If you want cards as well, see the payment accounts guide for every provider Mangobeds supports, or the Stripe guide if you have no provider yet.
Wrap-up
Connecting Wise to Mangobeds takes one API token. Guests pay you by bank transfer into the account you already use, you pay no gateway fee on top, and the part that normally costs you an afternoon a week — working out which transfer belongs to which booking — happens on its own.
