Hotelbeds Channel Manager Connection Guide

Before you connect, review your settings in Mangobeds. Once the channel is active, Mangobeds is the source of truth: your prices, availability, minimum stay and maximum stay are sent to Hotelbeds and replace what is set there, and anything you change on Hotelbeds is overwritten on the next sync. Set the minimum and maximum stay in Channel Manager → Settings (top right), and check each accommodation’s prices, before you activate the channel.

The Hotelbeds channel manager connection keeps the bed bank behind thousands of tour operators and travel agents in sync with Mangobeds: your rates, availability and restrictions go out, and reservations come back in, without anyone touching two calendars.

Before you start
You need a signed Hotelbeds contract for the property, with its rooms and rates already loaded on the Hotelbeds side. Hotelbeds connects one contract at a time: if your property has several contracts, each one is its own channel in Mangobeds.

  1. Ask Hotelbeds to connect your contract to Channex
    Log in to Maxiroom, the Hotelbeds extranet, and choose Channex as your channel manager. If you cannot find the option, open a ticket with Hotelbeds support and ask them to connect your contract to Channex
    Ask them for the XML username and password for the connection. They are often the same value
    Ask them to load prices on every date for the next two years and to make sure the contract runs at least that long. A shorter contract or missing prices are the two most common reasons a first sync fails.

Note: Channex is the connectivity partner Mangobeds uses for its channel manager, so this is the name Hotelbeds needs to see.

  1. Add the Hotelbeds channel in Mangobeds
    Go to Apps → Channel Manager. You land on the Channels tab
    Click Connect and pick Hotelbeds
    Enter the Username and Password Hotelbeds gave you
    Click Load contracts and choose the contract this channel is for. If the login only has one contract, it is picked for you
    Set Min Stay Type to Arrival or Through, depending on how you want a minimum stay counted
    Leave Grant Update Availability, Grant Update Rates and Grant Update Restrictions ticked, unless your contract says otherwise (see below)
    Tick Send Property Notification and add an email if you want Hotelbeds to mail the property directly as well
    Click Test connection
    If loading contracts fails with “Incorrect user or password”, check the login with Hotelbeds. If it loads but shows no contracts, Hotelbeds has not yet linked your contract to Channex.
  2. Map rooms
    Click Continue to mapping. You see one row per Hotelbeds room on the contract
    Pick the accommodation in Mangobeds each Hotelbeds room is sold as
    Map every room you want to sell; one left as “Not mapped” gets no availability or prices from Mangobeds
    Click Create channel. The channel is created inactive, so nothing is synced yet.
  3. Activate the connection
    Open the channel’s menu and choose Activate

That’s it. Rates, availability, restrictions and reservations will now sync for Hotelbeds.

Hotelbeds channel manager gotchas

Your contract may not allow price updates. Some Hotelbeds contracts, such as FIT rates, are priced by Hotelbeds and refuse prices sent by a channel manager. If the sync reports an error about rates not being allowed, edit the channel, untick Grant Update Rates and save. Availability and restrictions keep syncing.

Your contract has an end date. Hotelbeds refuses updates for any date after it. When you edit the channel, Mangobeds shows the date your contract runs until. Ask Hotelbeds to extend it before it gets close.

Allotment contracts may not let you close dates. If your contract gives Hotelbeds a fixed allotment, closing a date from Mangobeds may be refused. Ask your Hotelbeds contact how your allotment works, so a room you closed elsewhere is not still for sale on Hotelbeds.

Before you connect any channel

Currency, rates and restrictions are set once for every channel, not per OTA, and it is worth getting them right before you connect. Read the channel manager guide for that setup and for every other channel Mangobeds connects to.
